How Trainers for Hire Works

At Trainers for Hire, we connect two key parties: organisations in need of professional trainers and skilled trainers available for hire. Our platform streamlines the hiring process, ensuring quality delivery, fair compensation, and transparent interactions.

1. How It Works

Organisations submit training requests detailing the topic, desired level of training, delivery expectations, and content creation requirements. We then match them with trainers based on expertise, availability, and alignment with the request.

Trainers set their own daily rates. We present organisations with a quote that includes the trainer's rate, any travel or incidental costs, and our platform fee. Once both parties agree, we invoice the organisation for the full amount, payable in advance.

Upon successful training completion, we disburse payment to the trainer minus our 20% service fee. This platform fee is retained regardless of the outcome of the engagement.

2. Client Responsibilities

Clients must provide a comprehensive and clear scope of work, including:

  • Detailed topics to be covered
  • Target skill level (e.g., Beginner, Intermediate, Advanced, Expert, Certification Prep)
  • Content requirements (supplied vs. created)
  • Measurable outcomes or success criteria

The quality of trainer applications and delivery is often influenced by the proposed budget—higher rates typically attract more experienced trainers.

It is ultimately the organisation’s decision to hire a trainer, and they are responsible for ensuring that their internal evaluation and selection processes are robust.

3. Trainer Commitments

Trainers are expected to truthfully represent their expertise and availability. Misrepresentation may result in removal from the platform. Once a training engagement is accepted, the trainer is committed to delivering the training as scoped and agreed.

4. Cancellations & Postponements

We understand that unforeseen circumstances can lead to the need for cancellations or postponements. These situations can have a significant financial impact on both the trainer and the client. Our policy aims to be fair and transparent in managing such changes. Early communication is crucial in mitigating these impacts.

4.1 Cancellation or Postponement by the Trainer

If a trainer needs to cancel or postpone a training engagement, they are expected to provide sufficient notice. If the notice period is reasonable and the client agrees to the change, the following options are available:

  • Full Client Refund: If the client cannot accommodate the new dates, they will receive a 100% refund.
  • Alternative Trainer: Trainers for Hire will endeavour to find a suitable replacement trainer for the client, subject to the client's agreement.
  • Agreed New Dates: If the trainer and client agree on new training dates, the original payment terms will remain in effect.

4.2 Cancellation or Postponement by the Client

If a client needs to cancel or postpone a training engagement, the following conditions apply based on the timing of the notification:

  • Acceptable Notice Period: If the client provides cancellation or postponement notice within an acceptable timeframe (to be defined by Trainers for Hire's specific terms and communicated separately), the client will receive a refund of the total amount paid, less a 10% administrative fee.
  • Unacceptable Notice Period: If the client provides cancellation or postponement notice with insufficient time before the scheduled training dates (as defined by Trainers for Hire's specific terms), the client will receive a refund of the total amount paid, less a 20% cancellation fee.

We encourage open communication between clients and trainers to explore all possible alternatives before resorting to cancellation. Any costs incurred due to postponements (e.g., rescheduling fees charged by venues or trainers for significant date changes with short notice) may be the responsibility of the party initiating the postponement, subject to mutual agreement.

5. Account Agreement and Terms

By signing up for an account with Trainers for Hire, you acknowledge and agree to our comprehensive Terms and Conditions. These terms govern your use of our platform, including but not limited to service fees, payment terms, responsibilities, and dispute resolution processes.

Please note that Trainers for Hire reserves the right to modify these Terms and Conditions at any time. We will provide reasonable notification of any changes, and continued use of the platform after such notification constitutes your acceptance of the updated terms. It is your responsibility to review the most current version of the Terms and Conditions periodically.

6. Dispute Resolution

If issues arise, early reporting is critical. Delaying concerns until the end of an engagement reduces our ability to mediate effectively.

Organisations must:

  • Report issues within the first few days of training
  • Provide evidence, such as student surveys or feedback forms
  • Ensure concerns are objective, measurable, and clearly documented

Performance concerns may be investigated if average feedback scores fall significantly below expected standards. Our review considers:

  • Alignment between delivered training and initial requirements
  • Whether expectations matched the provided budget
  • The trainer’s qualifications and delivery effectiveness

Trainers may also raise concerns about client behaviour, training conditions, or scope misalignment. These must be reported promptly with supporting evidence.

Dispute Resolution Outcomes

Based on the review, potential outcomes include:

  • Full refund to the client (trainer does not receive payment)
  • Full payout minus platform fee to the trainer (if complaint is unsubstantiated)
  • Partial refund/payout based on a proportionate assessment of delivery vs. expectations

Note: Our 20% platform fee is non-refundable and retained in all cases. All decisions are final. While we aim to mediate fairly, both parties are ultimately responsible for the success of the engagement through clear expectations and honest representation.
